Wholesale and distribution

AI for Wholesale and Distribution in New Zealand

Orders arrive by email, portal and phone. Then someone keys them into Xero, checks the supplier invoice, updates the stock and chases who owes what. That handover between systems is exactly where AI earns its keep.

  • 2x daily wholesale orders checked against Xero
  • 43 supplier costs matched and updated
  • 50+ businesses helped across NZ

For NZ wholesalers and distributors running Xero, a stock or warehouse system and a trade ordering channel.

The problem

Every order gets typed twice

  • An order lands in Shopify or the inbox. Then someone keys it into Xero again.
  • Supplier invoices get checked line by line against what arrived.
  • Miss one, and an order goes out with no invoice behind it.

What can AI do for a wholesale or distribution business in NZ?

Take the double handling out: checking every order has an invoice, drafting the missing ones from that customer's past invoices, reading supplier invoices and matching costs, answering stock questions from the warehouse system and working out what to reorder. A person approves before anything changes in Xero.

It runs on the systems you already have. Xero has an official Claude connector, and for warehouse and stock systems without one we build a read-only connector, like the CartonCloud one we built for Metrix Timber.

Where it pays

What we actually get asked for

The jobs wholesalers and distributors actually bring us. Every one keeps a person on the final call.

Supplier bills, from PDF to draft

Claude reads the supplier invoice, pulls out the supplier, lines and GST, and drafts the bill in Xero. Nothing posts until you approve it.

Who owes what, from live Xero

Ask which trade customers are overdue and Claude answers from live Xero data, then drafts the reminder. You decide who gets it.

Stock questions, answered from the warehouse system

Stock on hand and inbound orders, asked in plain English. We built a read-only CartonCloud connector for Metrix Timber and tested it against the real API.

Reorder forecasting

A skill that works out reorder points from sales history, supplier lead times and the service level you want, and shows its working. Built and tested for Metrix Timber.

Supplier costs kept current

Price changes matched by barcode and SKU, updated with a revert log, every Monday. Little Taonga updated 43 supplier costs this way.

Trade customers and prospects

A customer list Claude keeps up to date, and prospect research that says "could not confirm" rather than guessing a name. Both built for Metrix Timber.

How a wholesale order gets invoiced

At Little Taonga, Shopify gets the GST wrong on wholesale orders, so every one used to be keyed into Xero by hand. Now Claude checks at 8:53am and 2:53pm.

  1. Order arrivesin Shopify or by email
  2. Claude checks Xerotwice a day
  3. Drafts what is missingfrom that customer's past invoices
  4. A person approves"Approve 1 and 3"
  5. Drafts in XeroGST applied, nothing else touched

Nothing goes into Xero until a person approves it.

Wholesale invoicing checked twice a day

Little Taonga checked a month of wholesale orders and purchase orders against Xero on the day and found gaps. The check now runs at 8:53am and 2:53pm, and supplier costs update every Monday.

A warehouse connector and six Claude skills

For Metrix Timber we built a read-only connector into their CartonCloud warehouse system, tested against the real API, plus six skills ready before handover.

  • Stock forecasting and reorder points
  • A CRM kept up to date by Claude
  • Prospect research that says "could not confirm" instead of guessing
  • Marketing copy, social analysis and a supply chain watch

Claude drafts. People approve.

The rules every wholesale build runs inside:

  • Connectors start read-only, with each person's own access.
  • Claude never changes a price, stock level, order or customer record on its own.
  • Nothing goes into Xero until a person approves it.
  • A written rulebook sets what Claude may change, and price changes keep a revert log.

From a wholesaler on the work

Cezanne runs Little Taonga, a Kaikōura jewellery wholesaler that also sells online and in its own store.

Alex and I spent a day with Blake from Harkness AI setting up Claude across our complicated business systems, and it was the best investment we've made! Rather than just showing us features, he built everything around our real platforms. We highly recommend Harkness AI to any business wanting to simplify its systems, work smarter and get real, practical value from AI.

Getting started

How a wholesaler starts

  • Find the double handling. Where does the same order, invoice or price get typed into two systems? That is the first job.
  • Connect both systems read-only. Xero, your ordering channel and your stock system, each with the access that person already has.
  • Check first, then draft. Run the check on real orders, then let Claude draft what is missing, with a person approving each one.

Your existing tools

We work with what you already run

Nothing to migrate. These are the tools NZ wholesalers and distributors run, and the work goes into connecting them.

  • Xero
  • MYOB
  • Shopify
  • Cin7
  • Unleashed
  • CartonCloud
  • Mailchimp
  • Gmail and Google Drive
  • Microsoft 365 and Outlook
  • Excel price lists

Xero has an official Claude connector. Most warehouse and stock systems do not, so we build one, read-only first, and nothing in your stock or books changes until you decide it should.
